Administrative Coordinator

Corderman & Company, a leading Boston-based construction management firm and multi-year Top Places to Work award winner, is seeking an organized and dependable Administrative Coordinator to support day-to-day operations at our Boston office. This is a 100% in-person role for someone who enjoys variety, takes ownership of recurring processes, and helps keep the office running smoothly for the entire team.
Reporting to the Senior Financial Operations Manager, the Administrative Coordinator will support office operations and facilities, as well as administrative tasks within Human Resources and Finance, serving as a key point of contact across the organization. This role offers room to grow, with the direction shaped over time by where your interests and strengths take you.
WHAT YOU WILL DO
OFFICE & FINANCIAL ADMINISTRATION
Maintain office supplies, common areas, and the kitchen/café, including ordering weekly office lunches; serve as the primary liaison with building management for access and facilities issues
Manage the main office phone line, incoming/outgoing packages, and general office administrative needs
Coordinate with IT and equipment vendors on phones, printers, AV, and other office technology; track and maintain hardware and device inventory
Maintain inventory and distribution of company apparel and branded gear
Support day-to-day financial administration, including maintaining and processing financial records as needed
Maintain organized filing and retention systems for contracts; support subcontractor compliance and contract tracking as needed
PEOPLE ADMINISTRATION
Provide HR administrative support, including new-hire paperwork, I-9 tracking, background checks, benefits enrollment processing, and interview scheduling
Maintain the employee intranet, shared reference files, and certification/license tracking databases
Coordinate new-hire onboarding logistics, including setup, scheduling, and check-ins, and manage off-boarding logistics including equipment and access
Support the performance review process, including scheduling, deadlines, and documentation; document and file notes
Coordinate scheduling, logistics, and attendance tracking for employee training and development programs
Prepare and run the weekly staff meeting and provide calendar/scheduling support for leadership
Support office events, outings, and employee recognition efforts
Prepare materials for internal meetings and support Marketing with external presentation logistics
WHAT YOU WILL BRING
Strong organizational skills and the ability to manage multiple priorities in a fast-paced office environment
Excellent written and verbal communication skills
High attention to detail and sound judgment when handling confidential information
Comfort with, or willingness to learn, AI tools to streamline day-to-day administrative tasks
Proficiency in Microsoft Office Suite; familiarity with Canva or similar tools a plus
Positive, team-oriented attitude aligned with Corderman’s collaborative culture
Ability to work independently and take ownership of recurring administrative processes
REQUIRED QUALIFICATIONS
High school diploma required; additional coursework or certifications a plus
3+ years of administrative or office coordination experience
Proven ability to maintain confidentiality with sensitive information
Ability to pass a background check and drug screening

The salary range for this position is $55,000-$70,000. The stated salary range represents the company’s good-faith estimate of compensation for this role at the time of posting. Final compensation will be determined based on factors such as experience, skills, and qualifications.
